If you own a small business and you're shopping for bookkeeping, one of your first questions is probably pretty simple:

How much does bookkeeping cost for a small business?

The answer you hear a lot is, “It depends.” And it does. But that doesn't mean you shouldn't be able to get a straight answer.

At Belshaw Accounting Tax and Advisory Services LLC, our monthly bookkeeping services currently start at $495 per month. As a business grows and becomes more complicated, the price generally increases.

But the number on the invoice isn't the only thing you should look at. A better question is:

What am I getting for my money?

What Determines the Cost of Bookkeeping?

Two businesses can have the same amount of revenue and require very different amounts of bookkeeping work.

A one-person service business with one checking account and 40 transactions a month is one thing. A contractor with multiple bank accounts, credit cards, employees, subcontractors, equipment loans, and hundreds of transactions every month is something completely different.

Here are some of the biggest factors that affect bookkeeping cost.

1. How Many Transactions Does Your Business Have?

Every transaction needs to be recorded and categorized correctly. The more activity your business has, the more work is involved.

A business processing hundreds of transactions every month will generally require more bookkeeping work than a business processing 30 or 40.

2. How Many Accounts Do You Have?

Your checking account isn't necessarily the only account that needs attention. A business may have:

  • Multiple checking or savings accounts

  • Business credit cards

  • Equipment loans

  • Lines of credit

  • Merchant accounts

  • Payroll accounts

Those accounts need to agree with the books. That's called reconciliation, and it's one of the most important parts of good bookkeeping.

3. Are Your Books Current?

There's a big difference between maintaining clean books every month and receiving a year's worth of records at tax time and trying to reconstruct what happened.

If your bookkeeping is months—or even years—behind, you may need catch-up or cleanup bookkeeping before normal monthly service can begin.

One thing we've learned over the years: Staying current is usually easier than getting current.

4. How Clean Are Your Records?

Do you have separate business and personal accounts? Are your transactions clearly identified? Are your statements available?

Or are personal expenses, business purchases, transfers, and mystery deposits mixed together?

The more detective work required, the more time your accountant or bookkeeper has to spend figuring out what happened.

5. How Complicated Is Your Business?

A one-person consulting business can be relatively straightforward. A growing contractor might have employees, subcontractors, equipment, loans, multiple crews, payroll, and seasonal changes in cash flow.

Complexity matters.

What Does Belshaw Accounting Charge for Monthly Bookkeeping?

We believe business owners should have some idea of price before they call us. Our current monthly bookkeeping pricing starts at:

  • Owner-Operator (under $200,000 in annual revenue): starting at $495 per month

  • Growth ($200,000 to $500,000 in annual revenue): starting at $695 per month

  • Established ($500,000 to $1 million in annual revenue): starting at $995 per month

  • Scaling (over $1 million in annual revenue): custom pricing

Revenue helps establish a starting point, but it doesn't tell the whole story. Your final price can also depend on transaction volume, number of accounts, payroll, loans, complexity, and the current condition of your books.

Business tax-return preparation is quoted separately. If catch-up or cleanup work is required, that is generally quoted separately as a one-time project.

We prefer to look at the books before giving you a final price.

Can I Find Bookkeeping for Less?

Absolutely. And sometimes a less expensive option is all you need.

If you're a solo business owner with one checking account, very few transactions, and simple books, you may not need a full-service accounting firm. You may even be able to handle the bookkeeping yourself.

But the question changes as your business grows.

A low-cost bookkeeper who enters transactions but doesn't reconcile accounts correctly, understand payroll entries, properly account for equipment and loans, or prepare the books for tax time may end up costing considerably more.

If another accountant has to rebuild the books later, you've paid once to have them done and again to have them fixed.

Cheap bookkeeping gets expensive when you have to pay somebody to do it twice.

What Should Monthly Bookkeeping Include?

Don't compare bookkeeping services on price alone. Ask what you're actually getting. Depending on your business, professional monthly bookkeeping may include:

  • Transaction categorization

  • Bank reconciliations

  • Credit-card reconciliations

  • Loan reconciliations

  • Payroll journal entries

  • Depreciation and other accounting entries

  • Profit-and-loss statements

  • Balance sheets

  • Review of unusual or questionable transactions

  • Communication when something doesn't look right

The purpose isn't simply to put transactions into accounting software. You should end the month with financial information you can actually trust.

Why Does Accurate Bookkeeping Matter?

Because almost everything else sits on top of it. Your financial statements come from the books. Business decisions are made from those financial statements. And eventually, your tax return is prepared using information from the books.

The IRS explains that good business records can help you monitor the progress of your business, prepare financial statements, identify sources of income, keep track of deductible expenses, prepare tax returns, and support items reported on those returns.

In other words: Bad books don't stay a bookkeeping problem.

Eventually, they can become a management problem, a cash-flow problem, or a tax problem. Sometimes all three.

Do I Need Monthly Bookkeeping?

Not every tiny business needs a full-service accounting firm closing its books every month. But as a business grows, waiting until tax season becomes increasingly risky.

If you don't know what your business made last month, it becomes harder to make informed decisions about:

  • Hiring

  • Equipment purchases

  • Pricing

  • Cash flow

  • Owner compensation

  • Estimated taxes

  • Expansion

And remember: A healthy bank balance doesn't necessarily mean you made a healthy profit. That's one of the reasons good books matter.

What About Businesses in Tampa and Greater Tampa Bay?

Belshaw Accounting works with service businesses, contractors, and other small-business owners throughout Tampa and Greater Tampa Bay, as well as clients virtually nationwide.

Your location doesn't determine your bookkeeping price. The work does.

A Tampa contractor with several crews, employees, subcontractors, equipment, and hundreds of transactions will naturally require more accounting work than a one-person consultant with a single bank account. That's why we want to understand the business before quoting the work.

How Do I Know Whether I'm Paying Too Much for Bookkeeping?

Before looking at the monthly fee, ask yourself:

  • Are my books current?

  • Are my bank and credit-card accounts reconciled?

  • Do I receive financial statements I understand?

  • Do I trust the numbers?

  • Are my books ready when it's time to prepare the tax return?

  • Can I talk to someone when I have a question?

If the answer to those questions is yes, then compare the price. If the answer is no, a cheap monthly fee may not be much of a bargain.

Frequently Asked Questions

How much does bookkeeping cost for a small business?

Our monthly bookkeeping currently starts at $495 per month for smaller owner-operated businesses. Growing and more complex businesses generally fall into higher pricing tiers.

Is my business tax return included?

Business tax-return preparation is quoted separately because the complexity of business returns varies considerably.

What if my bookkeeping is behind?

That's common. Catch-up or cleanup bookkeeping can bring your records current before ongoing monthly bookkeeping begins. That work is generally quoted separately.

Can you fix bookkeeping that someone else did?

Yes. We can review existing books to determine what's correct, what needs adjustment, and whether cleanup is necessary.

Do I have to be located in Tampa Bay?

No. Belshaw Accounting is virtual-first and works with businesses outside Florida as well.

The Bottom Line

Bookkeeping shouldn't be judged simply by how cheaply someone can enter transactions into accounting software. It should be judged by whether your numbers are complete, reconciled, accurate, and useful.

For some very small businesses, a simple bookkeeping solution may be enough. For a growing business, professional monthly bookkeeping can become part of the financial foundation of the company — and the starting point for forward-looking advisory and tax planning.

At Belshaw Accounting, we like to understand where you are before telling you what you need. If everything looks good, we'll tell you. If something needs fixing, we'll tell you that too.

No jargon. No guessing. Results, not fluff.
